COMMITTEES and AFFINITY GROUPS –February 2011
COMMITTEES
The Church Council shall appoint
such committees as are deemed necessary to manage and direct church affairs.
Each committee shall have the powers and duties as the Council delegates to
it. A committee shall consist of two or
more persons, with a Voting Member serving as chair. An elected Church Council
Member-at-Large will serve as liaison to the Council for each committee. With
oversight by the Council, committees are responsible for the following tasks:
·
Submitting
meeting minutes to the Church Council liaison and all committee members.
·
Developing
and submitting written policies and procedures to the Church Council for their
approval.
·
Submitting a
proposed annual budget to the Finance committee.
·
Recruiting
new members on a regular basis.
Building and Grounds Committee
Mission: To assure that the church building, property,
and grounds are maintained.
Tasks:
·
Keep the
building, property, and grounds in good working order.
·
Arrange the
annual fuel contract.
·
Assess and
prioritize maintenance needs.
·
Perform
small tasks or obtain ad hoc helpers.
·
Obtain
Church Council approval for work requiring contractor quotes or costing more
than $200.
·
Arrange and
oversee contracted work.
·
Advise the Church Council as requested; help assess
and plan for long term needs of the physical facilities.
Building Use Group
Mission: To assure proper use of church facilities by
outside entities.
Tasks:
·
Propose
revisions to church use policy, including fees charged, to the Church Council.
·
Review
rental requests and determine whether they are consistent with church
principles.
·
Determine
whether requests for reduced or free rentals will be granted.
·
Resolve
problems that arise from church use, with Council input if necessary.
Caring Circle Committee
Mission: To assure that support is available for
those in need in our congregation.
Tasks:
·
Respond to
requests for support and inquire if support is desired where need is perceived.
·
Refer to or
arrange for resources and support.
·
Send cards
and/or flowers to individuals experiencing illness, loss, or other
sorrows.
·
Arrange
limited transportation and/or meals in times of need.
·
Coordinate
need for and creation of shawls through the Shawls Ministry.
Communications Committee (no
formal committee, functions performed by individuals)
Mission: To provide the means for disseminating
information for and about the church.
Tasks:
·
E-mail –
provide access to e-mail distribution of information through the UU News,
Bulletin Board, and Caring Circle, reviewing for compliance with church policy.
·
Website –
maintain and update the website.
·
Newsletter –
gather articles for and publish a newsletter about the congregation and church
activities.
·
Public
Relations – arrange for articles about the church in the media.
Congregational Life Committee (committee
being developed, functions performed by individuals)
Mission: To
build community and create opportunities for connection among the
congregation.
Tasks:
(tentative)
·
Plan and arrange
social activities for the congregation, such as Game Nights, pot-luck lunches,
and Carousel dinners.
·
Plan and
arrange social activities open to the public, such as movies or
travelogues.
·
Follow-up
with members who haven’t been involved in church life for a time.
Endowment Committee
Mission: To
administer the Endowment Fund, created to enhance the mission of the church.
Tasks:
·
Encourage
contributions from the congregation to the Endowment Fund.
·
Keep a
record of the terms and restrictions of gifts to the fund.
·
Assist the
Treasurer in maintaining accurate accounts for the fund.
·
Report
periodically to the Church Council and give an account of the fund at each
annual meeting.
·
Chose
investments to achieve long term growth consistent with the UU principles.
·
Advise the
Council on proposals to spend endowment funds, and disburse funds as decided by
the Council in accordance with the bylaws.
Finance Committee
Mission:
To monitor the financial operations of the church.
Tasks:
·
Receive
budget proposals from church committees and develop an annual budget proposal
to be presented to the Church Council.
·
Provide
support and oversight for the Treasurer.
·
Process
collection plate.
·
Work with
the Stewardship Committee developing materials, information, etc.
Fund-raising Committee
Mission: To raise money to support the church and its
ministry through fund-raising activities.
Tasks:
·
Raise the
budgeted amount set by the Church Council and Finance Committee.
·
Serve as a
clearinghouse for fund-raising ideas.
·
Plan and
conduct fund-raisers such as clothing sales, book sale, yard sale, auction,
etc.
Green Sanctuary Committee
Mission: To bring the values embodied in our 7th
Principle into action in the UU Church of Belfast and beyond.
Tasks:
·
Provide
information on environmental topics through Sunday services, our bulletin
board, the newsletter, and other resources.
·
Sponsor
activities for all ages of the congregation through children, youth, and adult
religious exploration.
·
Encourage
the adoption of environmental practices by individuals, the church, and the
community.
·
Engage in
activities to remain accredited as a Green Sanctuary congregation.
·
Maintain the
Green Sanctuary church bulletin board.
Hospitality Committee
Mission: To assure a welcoming atmosphere through the
provision of food and maintenance of the kitchen.
Tasks:
·
Arrange for
Sunday service refreshments.
·
Arrange task
forces to plan food and hospitality for church functions other than Sunday
services.
·
Oversee
kitchen use and maintenance to assure cleanliness, neatness, and safety.
·
Request an
annual budget for food for Sunday services and special occasions.
Lifespan Committee – Children and Youth
Mission:
To foster the spiritual
development of our children and youth.
Tasks:
·
Provide religious
exploration classes grounded in the UU principles Sunday mornings during the
school year.
·
With the
Religious Exploration Director, review and approve RE curricula.
·
Arrange for
child-care Sunday mornings during the summer.
·
Train Guides
for religious exploration classes.
·
Assist in
arranging intergenerational Sunday services.
·
Plan and
arrange activities, consistent with our UU principles, for children and youth.
·
Assess space
and other resource needs.
Lifespan Committee – Adult (committee
being developed)
Mission: To foster the spiritual exploration and
development of our adults.
Tasks:

·
Plan and
arrange courses and other activities grounded in the UU Principles to foster
spiritual development and congregational connections.
Membership Committee
Mission: To welcome visitors and newcomers so as to
encourage their integration into the life of the church.
Tasks:
·
Greet those
coming to church for Sunday services and meet newcomers during hospitality
after the service.
·
Conduct an
Orientation Class for newcomers to introduce them to Unitarian-Universalism and
the UU Church of Belfast.
·
Plan and
conduct activities to integrate newcomers, such as welcoming dinners and a “buddy”system.
·
Assist in
planning New Member Sunday services and activities.
·
Develop and
arrange for distribution of an updated UU Church of Belfast brochure.
·
Maintain the
Membership church bulletin board.
Music Committee
Mission:
To support a high quality,
spiritual music program reflective of UU principles.
Tasks:
·
Provide
ongoing support for the Music Director.
·
With the
minister, develop evaluation forms and contracts for the Music Director and the
Accompanist.
·
Review
performance of the accompanist on a quarterly basis to assure compliance with
the contract.
·
Secure the
maintenance of the piano and other equipment.
·
Organize the
purchasing hymnals through the budget or, with Church Council approval, by
other means.
·
In
coordination with the Music Director, compile an annual music budget and submit
it to the congregation for approval at the Annual Meeting.
Safe Congregation Committee
Mission: To assure healthy
boundaries and behavior in our church.
Tasks:
·
Develop
strategies to address issues of health, safety, and right relations in the
congregation.
·
Propose safe
congregation policies and procedures, which address the minister, staff,
congregation, and visitors, for approval by the Church Council.
·
Address
complaints of abuse, oppression, or harassment within the church.
Services Committee
Mission: To encourage the spiritual and intellectual
well-being of the church through the provision of services that
reflect Unitarian-Universalist principles and sources.
Tasks:
·
Coordinate
services with the minister.
·
Arrange for
and coordinate with speakers for Sunday services.
·
Plan and
coordinate the components of Sunday services, including music with the Music
Director.
·
Provide a
coordinator for each service.
·
Develop the
means for gathering and addressing feedback from the congregation about
services.
·
Provide
training or assistance to potential speakers or service coordinators.
·
Oversee the
supply and maintenance of materials used during Sunday services, such as
chalice, baskets, etc.
·
Oversee
maintenance and identify needs for sanctuary facilities, including the general
esthetics of the sanctuary.
·
Arrange for
the recording of services.
Social Justice Committee
Mission:
To effect social change to foster
a just and peaceful community, nation, and world.
Tasks:
·
Educate the
congregation about matters of social concern through Sunday services, children
and youth religious education, and adult religious exploration.
·
Maintain the
Social Justice church bulletin board.
·
Educate the
greater community about matters of social concern.
·
Explore ways
of rectifying social injustices and take action.
·
Work with
other faith traditions and community groups to educate the public about social
injustice and to take action.
·
Encourage
public officials to foster a just and peaceful community, nation and world.
Solstice Committee
Mission: To assure the presence of a winter solstice
celebration in the community so as to be able to donate funds to a worthy
cause.
Tasks:
·
Plan and
organize the annual winter solstice celebration.
·
Select a
charity or cause to donate the net profits to, with Church Council
approval.
Stewardship Committee
Mission: To raise money to support the church and its
ministry through the annual pledge drive.
Tasks:
·
Raise the
amount budgeted by the Church Council through the annual pledge campaign.
·
Educate the
congregation about the need for the budgeted amount.
Welcoming Congregation Committee
Mission:
To affirm and respect the lives of gay, lesbian, bisexual and transgender
people (GLBT) within our congregation and beyond.
Tasks:
·
Educate the
congregation about issues affecting those who are
gay/bisexual/lesbian/transgender through Sunday services, youth programming,
and adult religious exploration.
·
Engage in
outreach to GLBT youth and adults.
·
Work with
other faith traditions and community groups to educate the public and reduce
prejudice and violence against GLBT individuals.
·
Maintain the
Welcoming Congregation church bulletin board.
·
Engage in
activities to remain accredited as a Welcoming Congregation.
